Adding Recurring Charges

Recurring charges record charges and services that your community routinely provides to residents at a specific daily or monthly charge amount. For example, cable fees, laundry charges, and telephone charges. You can define if the charge or service is applicable when the resident is on a bed hold or leave of absence and if the charges are to be prorated. 

You can use Recurring Charges to efficiently manage resident charges and services.

Note

Charge/Adjustment Codes and Charge Code amounts must be configured.

  1. Next to Recurring Charges, click New.

  • Effective From Date - Type the date the charges start.

  • Effective Through Date  -  Type the date the charge is to end. If unknown, leave the field blank. 

  • Charge Code - Type or select the charge code.

    • If the charge code is unknown, click the lookup. 

      • Select the Category from the list to filter the section of charge codes.

      • Select the charge code. 

  • Description - The selected charge code description appears.

  • Units - The number of units appears if configured in the charge code setup. Otherwise, you can type the number of units to specify the number of times the charge is to be billed during the billing cycle.

  • Amount - The Amount appears if configured in the charge code setup. You can type an amount if not auto-populated.

  • Charge in Advance - Select if the charge is to be applied in advance of  the resident receiving the charge. 

  • Charge on Leave/Hold - Select if the charge is to be applied when the resident is on leave of absence or bed hold.

  • Frequency - From the list, select the frequency the charge is to be applied. 

  • Prorate -  If a monthly frequency is selected, you can select to prorate charges not used for the entire billing month. 

  • Prorate on payer change - If monthly frequency is selected, you can select to prorate the charge when the resident's payer information changes. 

  • Transaction per Day - Select this option to list the charge separately for each day on the resident statement. For example:

    • A resident in the community for 29 days receives 1 unit of meal delivery at $2.50 per day. The statement shows 29 separate lines  with 1 unit  at 2.50 per line. 

  • When a resident is on bed hold or a leave of absence, generating charges during the pre-billing process shows the full amount. When a resident returns from a bed hold or leave of absence, the amount is prorated, if the option is selected, and only charges when the resident is in the community.
