Service Change Notifications Dashboard Pane

Use Dashboards to review Service Change Notifications and to authorize the approval of a service change. The approval form includes totals for current services and totals for new services. You can change units in the approval if needed.

  1. Do one of the following:

    • Billing > Dashboard.

    • Care Services > Dashboard.

  2. Review the Service Change Notifications in the last 5 Days for the Status of Pending. Determine Resident service package changes that require approval of the residents responsible party.

  3. From the Days list, select the notification period you want.

  4. Use Status to filter the list. Pending with Exception indicates the resident responsible is disagreeing the service change and the notification requires an escalation signature. Pending - No Exception requires the Business Office signature to complete the approval.

  5. Click edit to enter details into the service change notification for a resident. Based on the settings for the approval process, the Service Billing Options the Care Team, Escalation and Business Office signature maybe required to authorize the service change for residents. The option for Auto-Approve in (days) is available and it shows the remaining days left until the service change is automatically up to approved and setup the service and recurring charge in the A/R Profile.

  6. Part of the signature process involves the selecting the responsible party, entering the time of the conversation and whether the Responsible party Agrees and any comments. If the Responsible Party Disagrees, further information is captured and the escalation signature is required. The final authorization is the Business office signature.

  7. Fully Authorized Service Change Notifications automatically updates the Resident's Service package tab for the new service and the A/R Profile for the Recurring Charge.

  8. Click Print to select the print option for a Resident to select the Service Change Approval Form and the Audit Report. 

  • Service Change Notifications use the most recent move in date as the Service Change Package Effective Date only for service changes created from Move In forms. This ensures that there is no service billing revenue missed if the admission form is not completed on the day that the resident moves into the Community.

  • Service Change Notifications can be viewed and authorized from the Billing Resident Service Package tab. To facilitate communications with the responsible party, notifications include all items in the new service package, including levels and charge codes with no changes.

  • Selecting the report icon shows the Service Change Notifications Report based on the options selected on the Dashboard. Go to Billing Reports to access the Service Change Notifications Report with the full report options and filters.

  • The system clears a resident service change notification having a status of Pending, Pending - No exception, Pending - With Exception, if the assessment is changed from locked to unlock, strike-out, delete or close. You see a warning message to contact the Billing Office when a resident service change notification is approved and an assessment is changed from locked to unlock, strike-out, delete or close. The Billing office contact needs to determine the correct action and decide whether the service package related to the revised assessment needs to be deleted.
