Setting Up Service Package Management Quick Reference Guide

This quick reference guide provides the steps required to set up Service Package Management.

The Service Package Management module provides flexible setup options to automate tracking and billing for care services. 

Important

You can automatically bill service package overages or a la carte services using Point of Care (POC). Care Services must enable POC and POC Service Time Tracking. Billing setup is included in steps below.

1.

Create a new Charge/Adjustment Category

  • Enter Service Level in Charge Category.

Create Service Level and/or Points Charge/Adjustment Codes

  • Add a charge code for each Service Level or Points item.

  • Select Type

    • Service Level for Service Level billing

    • Service for Points billing

  • Select Category, Service Level, or the applicable charge category for Points billing. 

  • To bill service package overages or a la carte services using POC,

    • Select POC Measure By Unit or By Actual Time.

    • Enter the Default Charge Code Amount.

Create Pick Lists for Non-Billable Services - Optional

To track items at no charge

  • Edit Non-Billable Services Pick List.

  • Add items to the list.

Create Service Package Categories

  • Create Service Levels and/or Points Categories

    • Select appropriate Category Type, Levels or Point.

    • For Points, select the Charge Code.

  • Assign services to Service Level Package Categories

    • Assign Service Levels to each Service Level Package Category.

    • Assign New Services to Levels as required.

      • Define the service as billed or not billable.

  • Activate Service Package Categories for communities.

5.

Map Task/Interventions to Charge Codes - Optional

To automatically bill for services documented in POC

  • Calculate service package overages.

  •  A la carte services excluded from service packages.

  • Select the Care Library.

  • Select the Charge Code for each Task/Intervention to bill.

Note

To automatically generate ancillary batches, PointClickCare Hosting Operations Services (HOPS) must enable the POC nightly billing job scheduler. After you complete care Care Services and Billing setup, contact Support and request enabling the POC nightly billing job scheduler. 

6.

Enable Service Packages in Communities

  • In Service Billing Options, select Enable Service Packages.

  • Select Service Package Recurring Charge Options.

  • Enable Service Level change notifications from Custom Assessments, if required.

    • Select Approval Options.

  • Optional - To automatically bill for services documented in POC for: 

    • Service Package overages.

    • A la carte services excluded from Service Packages.

    Select Allow charges to be created from POC tasks and interventions.

    • Define the number of minutes per unit of measure in POC.

7.

Validate and Apply Service Package Category Rates

  • Add a New Rate. 

  • Review and update rates as required.

  • Apply Rates.

8.

Create Assessment/Forms Scoring Categories - Optional

To trigger Service Levels or Points Service Package change notifications from User Defined Assessments (UDAs)

  • Care Services creates Form (UDA)

    • Scores

    • Score Ranges

    • Scoring Categories

  • Complete Billing Setup associating the Assessment/Form Scores to either Levels or Points Type Billing.

    • Select the assessment.

    • Select the type of service package, Service Levels or Points for each Score.

    • In Service Levels, assign a Service Package Category and Service Level to each Score. 

    • In Points, assign a Service Package Category and define # Points equal one unit of the charge code.
