User Defined Fields

User Defined Fields are an excellent way to create areas to hold information which would otherwise not be gathered by PointClickCare. These are fields you create to allow you to report on information that is important to you.

  1. While in the Admin module, depending on your Security access, you may or may not see & select Setup from the menu items. If you do not see it listed as an option, you do not have Security access to perform Set Up functions. See your Security Administrator.

  2. When you select Setup ,the set up options appear. The first section is Organization Setup. This contains areas which need to be addressed whether or not you are a Financial or Clinical community.

  3. Select User Defined Fields.

  4. When a new User Defined Field is being defined, in addition to a description and Type, are asked to provide an OrderOrder is a means of controlling the presentation sequence (of the listed selections) on the screen. Numeric ordering - or sequencing - is an alternative to having an alphabetically sorted list, and is seen in many areas of PointClickCare.

  5. In addition to text field contents, a UDF can be defined to hold other Field Data Types to limit the potential input to dates or numerics, for example. They could also be defined to be a Pick List type - operating the same way other lists are available in PointClickCare. in this case however, you create the additional item to comprise the selectables from your own pick list. (e.g "Dentures?" may be the User Defined Field, while the pick list you create may contain selectables limited to Upper Set, Lower Set or Full Set).

  • User Defined Fields can be plain text (char) or they can be defined to hold date, numeric, or pick list information.

  • User Defined Fields are a great way to capture information which is important to you and make it reportable in PointClickCare.

  • You must have a security role with appropriate rights to see Set Up on the menu. If you don't see Set Up you don't have access to it. See your local Security Administrator. The delivered Admin Setup role provides this access.
