Monitoring Pharmacy Category Orders for Pharmacy Initiated Orders Quick Reference Guide

This quick reference guide provides best practices for regular monitoring of your database when using Pharmacy Initiated Orders.

When

Action

Every Shift

Med Passes – Clinical Dashboard 

  • Monitor status of med passes in past 24 hours to help ensure medications are administered timely.

  • Care Services > Dashboard > Med Passes in the Last 24 hours. 

Order Alerts Dashboard

  • Review system or pharmacy order related alerts.

  • Care Services > Dashboard > Order Alerts.

To be Ordered

  • Review pharmacy entered orders

  • Care Services > Orders > Pharmacy Orders > To Be Ordered.

Daily

Orders on Hold > 30 days or Requiring Reassessment Dashboard

  • Contact Practitioner for follow up of meds on hold > 30 days if needed.

  • Care Services > Dashboard > Orders on Hold > 30 days. 

Orders Pending Confirmation:

Communities must check Pending Confirmation queues to avoid delays in care and documentation.

  • Care Services > Orders > Orders Pending Confirmation.

 On Order (Manual)

  • Review supplies ordered from the pharmacy. Manually receive when delivered.

  • Care Services > Orders > Pharmacy Orders > On Order (Manual). 

1-2 Times per Week

Orders Listing Report

  • Care Services > Reports > Orders > Order Listing Report.

  • Recommended filters to review pharmacy category orders entered by staff that were not received by pharmacy.

    • Communication Method : Phone, Prescriber Entered, Prescriber Written, Verbal 

    • Order Category: Pharmacy.

  • Recommended filters to ensure orders electronically transmitted from pharmacy include an indication for use or related diagnosis.

    • Communication Method: Electronically Transmitted from Pharmacy. 

    • Order Scheduling Details: Indications for Use or Related Diagnosis.

  • Monitor orders requiring practitioner review.
