Creating a New Service Package for a Resident

From the Resident Profile, on the Service Package tab, you can manually create Service Packages for a resident. You can customize the service packages to meet the residents needs. 

To save time, you can use form scoring to create and update the Service Packages for the resident automatically.  After a resident's Formform is locked, if the resident has no Service Package, one is created.

If a new service package and active Service Package contain different Service Levels or Points charges and:

  • No approval is required, the new Service Package is charged.

  • Approval is required, a Service Notification is created.

In a resident's Notification or Service Package, you can change the Price for Service Package Levels, and the Units and Price for any Points Based charges. If you change Units or Price, the associated recurring charge is updated.

If a resident receives more service or items than the amount allowed in the Service Package, you can use POC to calculate and bill overages, if:

  • POC time tracking is enabled.

  • The Charge code is mapped in Tasks/Interventions to Charge Code Mapping.

  • Allow charge to be created from POC tasks and interventions is setup in Service Billing Options.

In the Resident Service Package tab, 

  • Pending Service Level Change Notifications appear in the top in section.

  • Service Change Notification Date shows pending notifications.

  1. Billing > Resident > Service Package. 

  2. Click New and the New Service Package window opens showing any Service Package Categories active for the community.

  3. Enter the Effective date to set the start date of the Service Package for the resident.

  4. To bill a Service Package Level, select Service Level from the list.

  5. To bill services or items using Points, select Charge Code from the List for each service or item.

  6. If the resident has a custom price for the service level or Points Service Package, enter the Price. This makes the Service Level or Points Service Package for the resident a custom rate, and the system does not update the rates for this custom rate when applying rates for new effective date or rate.

  7. Use the add new service link to add services to the specified service level.

  8. if the service is billable, select Use Charge Code. If the service is not billable, clear option.

  9. If the service is Billable, complete the following fields:

    • Enter the Units that are allowed for this service level.

    • Select the Charge Code or Description by typing the code/description or using the magnifying glass icon lookup.gif to select the appropriate charge code/description.

    • Select the Frequency.

  10. If the service is Non-Billable, complete the following fields:

    • Enter the Units that are allowed for this service level.

    • Select or type the Description.

    • Select the Frequency.

  11. Click add new service to add more services for this service level.

  12. After completing one Service Package, you can continue to the next if applicable for the resident and follow the same steps until all the Service Packages are complete.

  13. Select the add new service link in the Additional Services section to add any additional services that the resident requires, that is not part of a Service Package.

    • Type the Units for the additional service.

    • Select the Charge Code or Description.

    • Select the Frequency.

    • Type the Monthly Price.

  14. Click Save. The new resident Service Package information appears in the lower section of the Resident's Service Package tab.

When POC is configured to track overages, an additional charge section appears below the service package Points charge. The actual time entered in POC is compared to Units in this section. Frequency is the schedule when overage calculations complete. If the resident receives more services than the Units in this section, overage charge(s) are created in an ancillary batch. You can review the overage charges in Open Ancillary Batches, and post the batch.

For example, a resident has 3 Units in the POC charge section. The resident receives 5 units of service and 5 units is entered in POC. An overage charge for 2 Units is created in Open Ancillary Batches.

To change Units and Frequency used to track overages

  1. Click the menu next to the Notification or Service Package, and click edit.

  2. Click the expand icon next to the Points based charge code. An additional charge code section appears below.

  3. Enter the Units or change the Frequency, if needed.

  4. To add another service to the package for POC overage billing, click add new service. Enter Units, Charge Code or Description, and select Frequency.

Note

Units in the Service Package Points charge and Use Charge code for POC overage calculation are independent of one another. If you change Units in the Service Package Points charge, Units in the POC section do not automatically update. To ensure residents' overage charges are accurate, we recommend you update POC units to match the Units in the Service Package Charge.

  • To identity Notifications and approve Service Package changes timely, use the Service Change Notifications Dashboard.

  • For Pending Notifications, you can configure service billing approval options to show the notification date, status and the number of days remaining to Auto Approved In time. The options links available are edit, print and clear.

  • Use the icon to view details of service package categories and additional services on Resident Service Package tab.

  • To print a report for the resident to sign for documentation purposes, select print from the Service Package menu.

  • To edit the service package details for the resident, select edit from the Service Package menu.

  • To delete the service package and additional services, select delete from the Service Package menu.

  • The units field allows up to 5 digits to be entered for the units of service or product.

  • If you enter a Units and/or Price amount in error, you can correct this. To reset the charge to the Service Package Standard, click revert, click the Standard Units and /or Standard Price check box(es), click Revert, and Save.

  • If you change the Price or Units, the Service Package Customized indicator is Yes.

  • To remove an added charge in the POC overage section, click del.
