Creating Leave Tracking Bed Hold LOA Rules

Leave Tracking Rules are created from the Leave Tracking Link either in the payer setup when leave tracking by payer is configured, or from the leave tracking set up area when leave tracking by facility is configured.

  1. From the leave tracking link, enter the LOA Rule Description.

  2. Select the Status Codes to include.

  3. Define the LOA Rules:

    1. Maximum Consecutive Days Allowed.

    2. Maximum Days Allow Per Period.

    3. Frequency - Month and Day or Start of Resident's Stay.

      1. Year.

      2. Quarter.

      3. Month.

      4. Stay.

      5. Lifetime.

  • By Payer: When an EMC created payer is already activated at the facility leave tracking by payer must be setup at the facility level, when an EMC created payer is not yet activated at the facility leave tracking can be setup at the EMC level and then when the payer is activated the leave tracking rules flow down to the facility level.

  • By Payer: Leave Tracking is available only for Primary or Primary and Secondary payers.

  • You can create multiple rules.

  • You can select multiple status codes per rule. However, after a status code is used in a rule, it cannot be selected again within another rule.

  • Consecutive Days Allowed can be set to yes or no and a number of days can be entered - this defines how many LOA days a resident is allowed to have in a row.

  • Days Allowed per period - when Yes is selected you see an additional option of Frequency. Frequency can be set to Year, Quarter, Month, Stay, Lifetime. You can determine when the frequency begins for the rule with a month and date or that start of each Resident's stay.

  • Year - When the frequency of year is selected, you can determine when the frequency begins with a month and date or the start of the Resident's stay.

  • Quarter – is defined as January–March, April–June, July–September, October–December.

  • Month – is defined as the calendar month, January through December.

  • Stay – is defined as the Resident’s stay at the community from move in to move out (admission to discharge).

  • Lifetime – includes all the Resident’s stays at the community regardless of how many move in and move outs they have.

  • Bed Hold/LOA days count resets for the Resident when the frequency is met.
