Auto-Receiving Orders

When auto-receiving is enabled in your facility you notice changes to your receiving processes in PointClickCare. Instead of receiving pharmacy supplies individually via barcode scanning or entering Rx#, orders are received automatically based on matching order identifiers and the supply sent by pharmacy. 

Note

Controlled substances must be manually received. These are not auto-received.

Orders that are auto-received do not appear in the Waiting to be Received view in the Orders portal. This can significantly reduce the number of pharmacy supplies you need to receive. If required, you can verify orders were auto-received in the following ways:

  • Order Audit Report - Shows Received By = Auto-Received; Received Date = date pharmacy sent supply.

  • Drug Record Book *New* - Shows Received By = Auto-Received; Received Date = date pharmacy sent supply.

Note

It is recommended to continue checking the Waiting to Be Received and On Order (electronic) tabs frequently, as some medication supplies continue to require scanning and linking, for example compound medications and custom medications.

  • Orders with a status of 'Active' and 'Pending Confirmation' are auto-received if there is a match on the following items between the order and the supply pharmacy sends:

    • New Orders:

      • Order ID (facility entered orders), Vendor ID (pharmacy entered orders), order description, supply directions.

    • Orders with previously linked supplies:

      • Resident ID, order description, supply directions, NDC/DIN#.

  • If no match is found, this pharmacy supply appears in the Waiting to Be Received view of the Orders portal to be received.

  • If an auto-received pharmacy supply is no longer required. For example, resident death or discharge, the supply must be marked as Return to Pharmacy.
