Creating a Document Manager Template

You can create a New Document Manager Template and upload your Word documents and forms with the field tags. You can define if the template requires a signature, select a category, enter a Due Date for the form to be returned after it is generated, select the scope and the activation of the template. These created Templates can be added to packets so multiple forms can be generated and printed at one time for the Resident.

Note

You cannot create templates with the same name and overlap the scope. For example, templates with the same name can be scoped to multiple facilities but not if the template is scoped corporately. It is suggested for multi-facilities to create and maintain templates at the Management Console. 

Note

You must create Document Manager Categories before creating templates.

If you choose to not Enable Document Manager Categories, you see only Admin or Clinical categories. 

  1. Enter Template Name.

  2. Enter Description.

  3. Select your Microsoft Word document.

  4. Select Signature Type.

    • If e-Signature is selected, select Signer Role(s).

  5. Select Category.

  6. Select Due Date Required, when applicable.

  7. Enter the Due date.

  8.  Enter Scope.

  9.  Select Facility Activations, if applicable. 

  • Select Requires signature when you need the Resident or Responsible party to provide back a signed copy of the form.

  • Enter Signer Role(s) in the order you want them to sign during the signing ceremony.  

  • Signer Role(s) pull from pick lists Contact Type, Medical Professional Type, and Staff Positions. Signer Roles should not be duplicated in these lists.

  • If you edit a description to any one of these pick lists selected as the signer role, it automatically changes in the template.

  • Select Due date when you require the form to be returned by the Resident or Responsible party with in a certain number of days, weeks, months. Due Date required triggers a correct Due date for a Resident's form to appear on the Document Manager Portal under the Due Date column for Pending Documents.

  • When the Template is added to a packet, the packet appears under the Packets section when viewing, editing the Template. You can jump to the packet from this section by clicking the blue link packet name.

  • Insert page breaks at the top of each page of your document to avoid errors.

  • At least one category is required.

  • You cannot edit and change a category for an in use template after the migration is complete.

  • Due Date becomes available for entry when Due date Required field is checked. Due date must be a Numeric Value.

  • Scope is only available when creating documents at the management console. Facility level scopes all templates to that specific Facility.

  • Facility Activations is available at management console. 

  • You cannot edit or delete a Corporate or Line of Business scoped Template at the Facility. Edit and delete is completed at the management console.

  • Template ID, Created by and revision by fields appear after saving or revising the packet.

  • The uploaded file name can be up to 100 characters. 

  • If you edit a template with a duplicate name, you have to edit the name to save. 

  • If you change the scope of a template with a duplicate name, you have to change the name to save. 

  • Duplicate name doesn't not affect version templates.
