Creating Rate Schedules

Your RATE SCHEDULES are the tables from which the Billing information is read, based on the assigned Rate Type Code on the Census. Each Rate Type defined appears on the Rate Schedule with associated accounts, monthly and daily $ amounts for accommodation, Payer information and a Billable Days statistical account. It also indicates whether that Rate is to be Billed in Advance or not.

Generally, all Rate Schedules are classed under REGULAR and exist for 1 year, named according to the month/year it comes into use. As well, if your facility uses pre-admission bed holds, a separate schedule is defined as BED HOLD ACCOUNTS, as it references specific Bed Hold accounts and uses appropriate per diem accommodation only, for those situations.

Annually - as rates change - instructions for creating a new Rate Schedule and updating existing residents, is provided by PointClickCare.

If you are implementing with PointClickCare, your initial Rate Schedules are created for you as part of the AR implementation configuration work. Thereafter all Rate Schedules are simply COPIED and maintained with new $ amounts to be applied after the annual changes to "regular" rates occur.

  1. While in the ADMIN module, depending on depending on your Security access, you may or may not see and select SETUP from the menu items. If you do not see it listed as an option, you do not have Security access to perform Set Up functions. See your Security Administrator.

  2. When you select SETUP, the set up options of the ADMIN module appear.

  3. Under the Billing Setup section, select RATE SCHEDULES.

  4. Your most current Rate Schedule will be at the top of the list, named by the month/year it comes into use.

  5. Details should be defined for every Rate Type used.

  6. Annual rate change procedures are published by PointClickCare and published on the Homepage.

  • If you attempt to make changes to an existing Rate which is used, you will receive a message indicating every resident using that Rate will be re-Billed (from the date the Rate Schedule was created). That is NOT usually something you want to do! i.e. Changes to current Rate Schedules impact everybody using that Rate on that schedule.

  • If a Rate Type is no longer used, consider deleting it from your list of Rate Types, to keep your Rate Schedules manageable.

  • You must have a security role with appropriate rights to see Set Up on the menu. If you don't see Set Up you don't have access to it. See your local Security Administrator. The delivered Admin Setup role provides this access.
