Configuring General Ledger

The General Ledger setup allows you to configure the general ledger of the PointClickCare application as per your organization’s needs. Note that most of the configuration options can be configured only one time.

  1. Click G/L Configuration in the General Ledger Setup sections.

  2. In the GL/AP Setup ­- General Ledger Configuration page, select the following options as required.

    Posting to Previous Years

    Allows you to post transaction to earlier fiscal years. Select when you post entries for the previous years.

    Exclude Zero Dollars Payments

    Select if you do not want to generate zero dollar checks when processing a check run via a system or manual payment batch.

    Display Facility Alias in Head Office Entries

    Only available if you have a head office. This option allows you to setup a facility alias, a customized quick description to uniquely identify each facility, used to enter JE's and AP invoices.

    Auto Post A/P Payments to GL

    Automatically adds the payments made through the Accounts Payable section to the general ledger.

    Auto Post A/P Invoices/Adj to GL

    Automatically posts the invoices or adjustments made through the Accounts Payable to the general ledger.

    Auto Post A/P Reversals to GL

    Automatically posts the reversals made through the Accounts Payable to the general ledger.

    Auto Post AR Cash to GL

    Automatically posts the cash receipt entries made through the Accounts Receivable section to the general ledger. We usually leave this option turned off until after the first month of AR is imported, so that we can assure the cash receipts flow to the GL correctly. After that, this option can be turned on for auto posting of cash receipts.

    Auto Post GL Auto Reversals to GL

    Automatically posts automatic generated auto reversal entries and posts them to GL.

    Allow JE to Control Account

    Allows journal entries to be applied to the control account.

  3. Enter the account information in the Retained Earnings Account field. 

  4. In the A/Rs to Import into this G/L section, select the appropriate facility or facilities for the accounts details to be imported to the general ledger. This is determined in the Discovery call. If you have one GL for all facilities, this is configured in only one facility, where the GL resides. If you have facilities that each has their own GL, select each facility setup.

  5. Select Corporate Bank Reconciliation Y/N? if a corporate bank is used across multiple facilities and the bank reconciliation is done at the same bank for all locations.

  6. Select Use AR Formula for GL Consolidation Account Y/N? to append a facility code across multiple sites but use only one general ledger.

  • If the Auto Post AR Cash to GL is NOT selected, the cash comes in with the AR Import as a lump sum amount for the entire month.

  • If the Auto Post AR Cash to GL is selected, the cash account is updated when EACH cash receipts deposit is posted.
