MDS 2.0 - Review of Sections - Sections AA, AB, and A

You need to be aware of special items in sections AA, AB, and A. Remember that all auto-populated responses must be verified as accurate at the time of completion as you are signing for, and attesting to, the accuracy of the data within the MDS.

Several questions in sections AA, AB, and A auto-populate from the resident's Demographics section, i.e. in the resident header: Edit > Demographics. Fields that are blue auto-populate the following sections of the MDS assessment:

  • AA2 - Gender.

  • AA3 - Birth Date.

  • AA5a - Health Card Number.

  • A1 - Resident Name.

  • A5 - Marital Status.

  • A6a - Resident Number.

  • AB4 (Face Sheet/Reentry) -Postal code.

  • AB7 (Face Sheet/Reentry)- Education.

  • AB8 (Face Sheet/Reentry)- Primary Language.

  • R4 (Discharge) - Discharge Date.

Section AA1 of the MDS assessment is the URI - Unique Registration Identifier. A URI is system generated when a Face Sheet is opened for a resident in their MDS tab. After the URI is created, it can be accessed in the Edit > Demographics section of the resident's chart, and auto-populates from there into all subsequent assessments within the episode of care. The URI is also accessible in the Admin > Resident Identifiers section of the resident's chart. A URI is 20 digits in length (eg. 50000201409010000123), and made up of a combination of values. The first 5 digits are the facility number, the next 8 digits are the most recent admission date and the remaining digits are the record sequence.

Section AA6 of the MDS assessment is the Facility Number for your facility. This value auto-populates from Clinical > Setup > Facility Submission Parameters > CCRS Facility Identifier. Note that the first value of the 5 digit Facility Number is the province of your facility’.

Section AB1 of the MDS assessment is the Admission Date. PointClickCare uses the following process to populate the AB1 date:

  • On creation of a new MDS, the system first looks for the most recent Re-entry assessment and uses the AB1 date from that assessment to populate the AB1 date on the current assessment.

  • If there is no Re-entry assessment, then the system looks for the most recent Face Sheet and uses the AB1 date from that assessment to populate the AB1 date on the current assessment.

  • If there is no Face Sheet, the system looks for the most recent admission or readmission date entered in the resident’s census and uses this date to populate the AB1 date.

  • Section A2 of the MDS assessment is the Room Number and this auto-populates from the resident’s census line.

  • Section A6b of the MDS assessment is the Register Number. The setting for A6b is configured in Clinical > Setup > Facility Submission Parameters > ‘Populate REGISTER NUMBER (A6b) with’.
