Generating Statements in the Trust Portal

Trust statements record a running total of a resident's transactions. You may be required to generate trust statements every month or quarter, depending on your facility's policy. Before generating trust statements, do the following:

  • Edit and post recurring charges batches.

  • Post open batches of withdrawals, deposits, interest, and payments from trust.

Each time trust statements are generated, the system sets the date. The opening balance becomes the closing balance from the last time the statements are generated and all the transactions since the closing balance on the last statement are included on the current statement.

Generate statements is usually run quarterly for all clients but can be run at any time. If you only generate statements one time every three months, the statement includes the closing balance from the last time the statements are generated and all the transactions for the last three months. The details of when the statements were run last appear in the Statements section.

  1. In the Trust Portal, click Generate Statements in the Statements section.

  2. In the Generate Trust Statements pop-up, leave select Include all residents to generate a trust statement for all residents with trust accounts.

  3. In the Statement Date field, select the statement date by using the calendar.gif. The date can be a past date or the current date. The system generates transactions from the last generation up to and including the statement date. The default statement date is the end date of the previous current posting period.

  4. If you are generating trust statements for all residents, you are prompted to confirm.

  5. To acquire the trust statement generated, generate a copy of the Trust Statement report.

It is not a good practice to generate a single Resident's Trust statement as this can cause issues when you try to generate statements quarterly for ALL Residents. it forces you to generate individual statements for each Resident as opposed to allowing you to select ALL Resident's because your last statement generate date would be pushed ahead form generating that one Resident's statement.

When you require a single Resident's trust statement with the new transactions since the last statement generation, using the Trust statements report and selecting to include transactions after last statement provides you the statement you require without the need to generate the new statement.
