GL Trial Balance Report

The GL Trial Balance Report shows final balances for Fiscal Year and Period selected for all GL accounts. Based on the options selected, you can also show zero balance accounts or selected GL accounts. The report shows the GL account number and description and the period ending balance in the Debit or Credit column, the Grand Total, Net Income (Loss) and the Day/Unit Accounts in a separated section. This report is often used for month end reconciliation purposes to view the closing GL account balances for a specific Fiscal Period.

  1. Facility> GL/AP > Reports.

  2. Click G/L Trial Balance

  3. Select the Fiscal Year.

  4. Select the Fiscal Period for the month required for the report.

  5. In the Account(s) section, determine the accounts that you want to include in the report by selecting:

    • All- Generate the report for all accounts.

    • Range- Generate the report for a range of accounts, and then enter the specific G/L account numbers in the Range Alternatively, you can search for the accounts using the magnifying glass icons.

    • Single- Generate reports for a specific account, and then specify the account number in the Account field. Alternatively, you can search for the account using the magnifying glass icon.

  6. Select Include Zero Balance Accounts to include GL Accounts in the generated report that the account balance is zero.

  7. Select Include Year End Adjustment Period to include the year-end adjustment period GL transactions in the report.

  8. Select Include Closing Period to include the closing period GL transactions in the report.

  9. Select Show $ to include a dollar sign with the amounts on the report

  10. Select an option from the Sort By list. The options that appear in the list are based on the order of G/L Account segments. Common segment options are Account Number, Sub Account, Department or Cost Center.

  11. Select an option from the Report Output Format list to generate the report.

  12. After you select all the report options required, click the Run Report button at the top right corner of the setup screen to generate the report.

  13. You can use the Print option in your browser window to print the report.

  1. EMC > Reporting > Admin Reports > GL/AP section.

  2. Click G/L Trial Balance from the G/L Reports section of the GL/AP Report List. The G/L Trial Balance Report Setup page appears.

  3. Select the Fiscal Year.

  4. Select the Fiscal Year End Month, if there are multiple Fiscal Year End months in the organization.

  5. Select the Fiscal Period number for the month required for the report.

  6. The Facilities/Communities option defaults to All Facilities/Communities and if you want to specify which facilities/communities select the appropriate options:

    • Include Inactive Facilities/Communities - Select to generate a report including G/L Transactions for inactive facilities/communities.

    • All Facilities/Communities - Select to generate a standard report showing G/L Transactions for all facilities/communities.

    • Selected Facilities/Communities - Select to generate a report for only selected facilities/communities. A pop up window appears allowing the selection of those facilities/communities required for the report.

  7. Follow steps 4 through 12 in the facility procedure above.

  • The Fiscal Period number is based on facilities Fiscal Calendar setup. When the Fiscal calendar does not have January as Fiscal Period 1, select the correct fiscal period and year based on the GL Fiscal Calendar setup. For example, if the Fiscal Calendar 2017 has June 2017 as period 12, select the Fiscal Year of 2017 and period 1 to generate the G/L Trial Balance for July 2016.

  • The G/L Trial Balance Report amount Grand Total Debit and Credit columns should always balance to equal amounts. If the amounts do not balance it is important to determine the cause. You can contact customer care for assistance.

  • When going live with GL/AP, it is important to validate the G/L accounts balances from the G/L Trial Balance tie out with your old system reports to ensure correct opening balances. These accounts MUST be reconciled before you begin the reconciliation and month-end process for the go-live month.

  • To confirm that the year-end close process is completed successfully, it is recommended that you run the G/L Trial Balance for the closed Fiscal year for period 12 with the options Include Year End Adjustment Period and Include Closing Period checked. The report should list only Balance sheet accounts with balances, the Net Income (Loss) as zero and there should be no Days/Unit accounts listed.

  • If the list for Sort By shows Segment 1, it indicates that the segments for the G/L Account have not been correctly defined. To assign the segment name go to the Management Console (EMC), click the Standards tab and click the Format Account Number under the GL/AP Setup section. Select the edit for each segment and enter the correct name for the Segment Name. If you do not have access, refer this to someone with GL Setup security role access

  • You require the GL Entry or GL Posting or GL Setup or GL/AP Role or equivalent security access to access G/L Reports.
