MDS 2.0 - Submissions - Create a Batch

Creating a Batch allows you to pull in a single MDS, or multiple MDS assessments that are completed and locked for a specific quarter or month (for Alberta facilities). After prepared, batches can be exported from PointClickCare, and submitted to the Canadian Institute for Health Information (CIHI) or your Health Authority/Provincial submitting body.

  1. Hover over the Clinical tab.

  2. Under the Care Management section, select MDS to access the MDS Portal.

  3. Click the Batches tab to access.

  4. In the MDS Submission Batches section, click New. An Add to Batch window appears. 

  5. Adjust the Fiscal quarter for this submission (or Month, for Alberta facilities), Fiscal year for this submission. You can also change additional filters to sort by, such as: Rate Type, Unit and Floor. Select one of the following: Export Ready Assessments, Exported Assessments, or Export Ready and Exported Assessments. You can select the MDS assessments you want to include in the Batch by clicking the Select All button, or you can manually select specific MDS to include in the batch by selecting the assessment. After you make your selections, Save.

  6. The selected MDS appear in the Edit Batch screen.

  7. Add additional MDS assessments to the batch by clicking Add To Batch.

  8. If an MDS is added to the batch in error, you can click Remove Link, to the left of the assessment. At the prompt, click OK. This removes the MDS from the open batch.

  9. View the MDS assessment by clicking View.

  10. Unlock the MDS to make any changes by clicking Unlock. You must lock the MDS again to export this batch.

  11. After you select the MDS assessments you want to export in a batch, you can export (see MDS 2.0 - Submissions - Export a Batch), or click Back go back to the MDS Submission Batches, and submit the batch at a later time. Note your new batch appears at the top of the list, with a status of "Open".

  • If you are unable to find the MDS assessment you are looking for in the batch, change the filter fields to refresh the screen. If you still cannot find the assessment, access the resident’s MDS tab, and ensure that the status is Export Ready, or Exported.

  • Batches can only contain Export Ready, and Exported assessments. Assessments that are Incomplete or Struck Out cannot be included in a batch.

  • You must have appropriate security permissions to create batches.
