Creating and Managing Order Templates

 Order templates are pre-defined orders with all or some of the order fields completed. You can reduce potential data entry errors and improve efficiency of the order entry process by using order templates. Order templates can be edited, copied, retired, and reactivated if needed. At times it may be necessary to make changes to order templates.

Note

It is recommended that you complete as many fields as possible to prevent staff from heavily editing when entering the order in the resident chart and consistently including items such as supplementary documentation.

  1. Do one of the following: 

    • Single facility: Clinical > Setup > Order Template Library.

    • Multi-facility: Management Console > Standards > Care Management > Order Template Library.

  2. Save & Publish.

    Note

    Order Templates must be published with a status of Active and available in the facility to be visible for selection.

  3. Click facilities to select which facilities can use the template.

  • Template Description - Type a description that matches what staff search when entering orders using a template. If a pharmacy template, type a description that includes medication, dose, form, route, and frequency.

  • Auto Create Order - Selecting to Auto Create causes the order to automatically add a queued order list for residents upon admission. If selecting this option in a multi-facility organization you can go to the facility level and click assign next to an Auto Created order template, which pushes that template to all existing residents. It is not recommended to select Auto Create many order templates, as they can cause added work to clean up with admission. Often it is better to create Order Sets.

  • Available for Mobile and Available for Web App? - Select option if applicable.

  • Order Category - Option selected determines fields to complete.

  • Scheduling Details - Select schedule(s) as applicable. Schedules can be combined with exception of Stat and Titration.

  • Personalization Required - If selected, forced staff when entering the order using the template to personalize certain text fields.

  • After templates are created, you can edit, copy, or retire active templates and delete or publish draft templates. 

  • Batch Update - Select option to complete the same action on multiple templates at one time.

  • At the facility level, for templates selected as Auto-Created, click assign to push the template to current resident charts into the Queued Orders.
