Stage 4 – Order Management

The Order Management view shows you statistics regarding the number of missed follow-ups and the percentage of orders:

  • Entered into the system within 4 hours of date ordered.

  • Confirmed in the system within 8 hours of date ordered.

  • Queued less than 4 hours.

  • Documented as administered or not administered with a reason.

  • Documented within 1 hour of scheduled administration date/time.

  1. Click Stage 4 in the Evaluation Bar Chart.

  2. Click Order Management.

Percentage of Orders Entered within 4 hours

  • Description - Percentage of orders entered in the system within 4 hours of the date ordered (Ordered Date versus Created Date).

  • Impact - Compliance.

  • Measure - Orders created within the last 30 days.

  • Ways to Improve - Encourage users to enter the data in real time. Consider creating a policy.

  • Related Reports & Dashboards - Order Audit Report (Individual Order), Orders Portal.

Percentage of Orders Confirmed within 8 hours

  • Description - Percentage of orders that were confirmed within 8 hours of the date ordered.

  • Impact - Compliance.

  • Measure - Orders confirmed over the last 30 days.

  • Ways to Improve - Encourage review of the Orders Portal to ensure that orders are Confirmed within 8 hours of being ordered.

  • Related Reports Dashboards - Order Audit Report (Individual Order), Orders Portal.

Percentage of Orders Queued in less than 4 hours

  • Description - Percentage of orders that are in queue for less than 4 hours.

  • Impact - Compliance.

  • Measure - Orders queued within the last 30 days.

  • Ways to Improve - Encourage review of the Orders Portal to ensure that there are no orders sitting in the queue.

  • Related Reports & Dashboards - Orders Portal: Orders Pending Confirmation tab, Telephone and Verbal Order signature detail, Order Review History Report.

Percentage of Documented Orders

  • Description - Percentage of scheduled orders (eg: 0700, 1000 pass times) that have been documented as administered or not administered with a reason (selecting an Admin Record Chart Code) in eMAR.

  • Impact - Compliance.

  • Measure - Orders scheduled within the last 30 days.

  • Ways to Improve - Encourage review of the Med Pass Status Pane on the Clinical dashboard before the end of the shift. Run the Medication Administration Audit Report previous the end of each shift to ensure all orders are documented.

  • Related Reports & Dashboards-Administration Record, Medication Administration Audit Report, Dashboards.

Number of Missed Follow-ups

  • Description-The number of follow-ups on a medication that did not occur.

  • Impact - Compliance.

  • Measure - Orders scheduled for follow-up within the last 30 days.

  • Ways to Improve - Encourage review of the Med Pass Status pane on the Clinical Dashboard, as well as review eMAR before the end of shift to ensure that ALL medications requiring follow up are documented.

  • Related Reports & Dashboards - Medication Administration Audit Report.

Percentage of Orders Documented within 1 hour

  • Description-Percentage of scheduled orders that were documented on (administered or not administered) in eMAR within 1 hour (1 hour before or 1 hour after) the scheduled administration time.

  • Impact - Compliance.

  • Measure - Orders scheduled within the last 30 days.

  • Ways to Improve - Encourage review of the Med Admin Audit Report as well as Med Pass Status Pane in the Clinical Dashboard before the end of each shift.
