MDS 2.0 Data Autopopulation and Auto Validation of Questions

MDS assessments contain auto-populated information from multiple areas of the PointClickCare application, for example resident demographics, weight, height, POC data, User Defined Assessments, therapy minutes and facility identifiers. This assists you in efficiently completing an MDS. There are some items in the MDS that can be changed from the auto-populated information however there are some demographic items that may not allow you to change the information from within the MDS, but instead forces you to update the information at the resident demographic level, then manually Refresh the data item from within the MDS section after the update is made.

MDS assessments also contain auto-validation rules which apply a set of logic based rules to the MDS to ensure that one item coded automatically completes another item or grey out that item based on logic. Various items in multiple sections of the MDS apply this logic automatically based on a response given in one item. The items that use auto-validation are:

  • if B1=1 then B2-F3 & N2-5 grey out.

  • if E4 A=0 then B=0.

  • if G1 A=8 then B=8.

  • if J2a=0 then 2b & 3a-j grey out.

  • if K5c-I then 6ab grey out.

  • if P1b A=0 then B=0.

  • If Profile Consistency is enabled in MDS Configuration for your facility, any changes to the fields within the resident's Demographic/Resident Detail page send an error into any In Progress MDS (indicating that the question must be refreshed to maintain consistency with client profile). To clear the error, click the Refresh link to the right of the MDS 2.0 item causing the error, to auto-populate the updated information from within the resident's chart. With profile consistency enabled you cannot edit the item from within the MDS, but must proceed to the Edit Demographics/edit Resident Detail screen to update the item then return to the MDS and click the Refresh link to pull in the updated response.

  • POC must be enabled to have sections of the MDS auto-populate with responses, and items auto-populate based on coding rules.

  • User Defined Assessments must be set up with an MDS push/pull control type to push from a UDA into the MDS. UDAs must also be completed during the appropriate lookback period to auto-populate the MDS.

  • Weight and height auto-populate Section K of the MDS with the most recent values from the Weights and Vitals tab.

  • Therapy minutes auto-populate into MDS Section P if entered into the Quick Entry > Therapy Minutes module, and items auto-populate based on coding rules.
