Transaction History Report

The Transaction History report shows you all transactions that occurred over time which are posted or generated for a residents account. It can list a residents history or all residents. Other available filter options include payer(s), payer type(s), billed, unbilled, and marked as billed. You can also see comments from batch entries or details from marked as billed items associated with transactions posted on the resident's account, along with their batch number and entry, where applicable.

From Admin Reports,

  1. Resident Number/Resident: To generate the report for all residents leave these fields blank. Enter the resident name or number, click lookup.gif, and select the resident from the list of results to generate the report for a specific resident.

  2. Enter a From and To date to generate the report for a specific date range. The system defaults to one month retroactive from the current date.

  3. Click Payer or Payer Type and click the available items to be included.

  4. To summarize any reversals, click Summarize the Reversal information.

  5. To include comments entered on statements, click Show Comments.

  6. All transaction statuses, Billed, Unbilled and Marked as Billed, are defaulted to be included. Click the option to exclude transactions in each status.

  7. Select the option to sort reported transactions by either Posting Date or Service Date.

  8. Check Ignore Report Threshold, if applicable. 

  9. Click Run Report.

  • Ignore Report Threshold  is an option to limit a user to post ancillary batches, adjustment batches, and cash receipts based on dollar thresholds. The threshold amount is set in A/R Configuration, security permission is required for users to post a batch when the batch total amount exceeds the dollar threshold. This threshold can be ignored when running the transaction history report. 

  • Posting Date is the date selected to which the batch is posted. You can choose any date in the current A/R billing month and forward. You cannot select a posting date from a closed A/R billing month.

  • Effective Date is the aging/distribution bucket month in which the payment is made/applied. The system auto generates this date as the first day of the bucket month in which the payment is made by the PointClickCare user. For example: PointClickCare user makes a payment in bucket Aug. 2016 the date generated is 08/01/2016.

  • Applied on date is the physical calendar date on which the payment was applied and posted. This system auto generated date is not dependent or affected by the A/R billing month unlike both the posting and effective date.

  • Transaction Types : R - Room Charges, A - Ancillary charges, C - Cash, X - Adjustments.

  • All transactions the result of a posted batch indicate batch# and entry#.

  • Shows all items billed, marked as billed (by whom) and not billed.

  • Monthly total, Payer total and resident total indicated.
