Open Trust Batches Overview

The Open Trust Batches section is the gateway to creating and managing trust batches. Under Open Trust Batches, click of the batch links to begin the batch process depending on the type of batch you need: Deposit, Interest, Pay Bills From Trust, or Withdrawal.

Configure Trust Setup if your facility allows cash splits between A/R and Trust. If you use Pay Bills From Trust, you must also set up the residents under Trust Profile.

Deposit Batches

Deposit batches are created to record the deposit into the trust account. When you enter a deposit transactions for a new trust account, a trust account is opened for the resident when the deposit batch is posted. During implementation, you create a deposit batch to enter and post the trust balances from your previous trust system. This is called a Balance Forward Deposit Batch, which is posted to the month before the Go-Live month.

Withdrawal Batches

Withdrawal batches are used when a check is written from the trust checkbook to cover a large withdrawal. Withdrawal batches are also created when residents pay a specific amount to the service provider where one check can be written to cover the cost. Creating a withdrawal batch for hair care services is an example. When closing a trust account, you must select Close Trust Account as the description when you enter the transaction in the withdrawal batch when a refund is applicable.

Pay Bills from Trust Batch

The Pay Bills from Trust batches are used when residents decide to pay all or a portion of their A/R bill with their trust account money. To ensure that residents can pay bills from trust, the system Administrator must set up Payment From Trust as a billing group in the Admin Setup and then select this option under the A/R Profile for applicable residents. When a Pay Bills From Trust batch is posted, a deposit batch is automatically created in the Billing Batch List - under Cash Receipts Batches to apply the trust money against the resident's A/R balance. The system automatically posts the Cash Receipts Batch; therefore, you must select filter the Billing Batch List - Cash Receipts by posted status to view the batch.

Interest Batches

Interest batches track the interest the facility's bank accumulates over the month by distributing the interest amount between the residents who hold trust accounts with the facility. When you create an interest batch and enter the total amount of the interest deposited in the facility's trust account, the system automatically calculates the amount due to individual residents based on their balances. It is standard practice to choose the first of the month as the Start Date and the end of the month as the End Date from the previous month.

You have three options to choose how you want the system to calculate interest.

  • Minimum Balance over Date Range calculates interest on the client's account based on the minimum balance in the selected month.

  • Average Balance over Date Range calculates interest on the client's account based on the average balance in the month selected.

  • Ending Balance over Date Range calculates interest on the client's account based on the ending balance in the month selected.

Hints and Tips
  • You can return to an open trust batch at any time to add, delete, or edit transactions within the open trust batch.

  • After the trust batch is posted, the batch cannot be modified.

  • If you do not know the batch amount when creating the batch, you can specify the amount when the batch is posted.

Business Rules
  • You must have a minimum of read access to view the trust module.

  • You must configure trust setup to allow a cash deposit to be split between A/R and Trust. When the deposit is created in Billing Cash Receipts, the system automatically creates and posts a trust deposit batch. When you allow Cash Split, a manual journal entry must be completed to transfer the trust amount from the A/R Operating Bank Account to the Trust Bank Account.

  • You must set up a default Trust Clearing Account under Admin Setup - A/R Configuration.

  • You must set up a Payment from Trust under Admin Setup - A/R Groups if you want residents to pay their A/R bill from their trust money.
