Creating Ancillary Batches

You can use Ancillary Batches as part of the Accounts Receivable.

BATCHES are accessed from the BILLING screen selection on the Admin module. 

ANCILLARY BATCHES capture miscellaneous charges for services or expenses beyond the normal accommodation charge. They can also be used to load initial Balance Forwards.

  1. While in the ADMIN module, select Billing from the menu.

  2. Click Ancillary to open the BILLING BATCH LIST screen.

  3. If desired, you can see your Posted batches by clicking the list arrow next to Status: OPEN and change the Status to list batches which have a "Status: Posted", for example.

  4. To create a new batch, click New  to create a header for the batch. The header contains only header information which does not appear elsewhere. (i.e. not on reports or invoices). The details of the individual transactions are entered after the Header is saved.

  5. If you select Save & Edit, the batch for transaction entry opens.

  6. If you select Save, the header is still saved, but you need to click Edit next to the now visible batch to enter the transaction area.

  7. Complete the transaction details:

    • Effective Date: the date the service occurred

    • Resident Number: Enter the resident number if you know it - otherwise skip this field so you can retrieve the correct resident by their name.

    • Resident Name: Retrieve the correct resident by entering just a few characters from their surname.

    • Description: Always select a description from the pre-defined List. Selection of the proper description ensures the "GL DOLLARS" account is the correct one previously defined as part of your set up. If completed during set up, this may also pre-populate the "Amount" field for you.

    • Amount: Enter the desired $ amount and Save.

  8. After the transaction is saved, it becomes part of the listed transactions forming the batch. These individual transactions can be Edited or Deleted if necessary.

  • Ancillary batches are used to enter additional, miscellaneous charges for services, They may also be used for NSF or REFUND entries.

  • Adjustments for accommodation charges should NOT be made using these batches. Any necessary Rate Changes or "adjustments" should be made through the existing Rate History on the resident Census.

  • Batches can be accessed from the main Billing screen, or from the Billing Batch List screen.

  • OPEN batches can be EDITED (for additional entries for example), "POSTED", "COPIED", or "PRINTED".

  • After a batch is "POSTED" the only options available are "COPY" or "PRINT".

  • You must have a security role with appropriate rights to see the Billing screen and select any of the batch types for maintenance, creation or posting. The (delivered) Admin (User) role provides that access. See your local Security Administrator if you require changes to your Security privileges
