Creating Quick Entry Groups

Quick Entry Groups allow you to document the same task in POC for multiple residents at one time without having to navigate into each resident's documentation screen. In POC Quick Entry Group Setup you can create groups, associate FUQs, tasks, and interventions, and assign an icon to help staff quickly identify the group of tasks they want to document.

Warning

If a Task or Intervention is removed from a Quick Entry Group, the system automatically clears ‘POC Documentation Required’ within the task, and removes the associated FUQs. You must ‘rebuild’ the FUQs in the Task Library for documentation to continue using the Task or Intervention outside of the Quick Entry Group. If a Quick Entry Group is no longer required, it is best to delete it.

Note

All Quick Entry Groups are technically corporately scoped, however they only appear in POC if the associated task is assigned to residents in the facility. You can 'scope' a Quick Entry Group to a facility or line of business using the task and follow up questions (FUQs). For example, if a Bathing task already has a Quick Entry Group, you can create another Bathing Quick Entry Group (name it differently) with the FUQs required, and attach it to a Task that is scoped to the facility or line of business instead of the corporately scoped task.

  1. Management Console/EMC (if multi-facility database) > Standards > Care Management > Point of Care: POC Quick Entry Group Setup. (If single facility database: Clinical > Setup > Point of Care: POC Quick Entry Group Setup).

  2. Type Batch Name.

  3. Select Icon.

  4. Type Order to order the icons in POC.

  5. Select Follow Up Questions:

    If the FUQs assigned in the Task Library are different than those added here, the FUQs in the Quick Entry Group override the previously selected FUQs for the task. Review the FUQs in both areas to ensure they match.

      • To select an existing FUQ:

        • To select a follow up question from the Library, scroll to a question (or use the Search field), select the check box next to the question(s) and add sequence numbers if multiple questions are selected.

      • To create a new FUQ:

        • To create a new question not available in the current library, click New Question > create a new Follow Up Question > Save & Close. See Creating Follow Up Questions.

  6. Click Next

  7. Click Add Intervention or Add Task to select Interventions/Tasks to associate with the Quick Entry Group, by

If adding Intervention(s):

  1. Select a Care Plan Library.

  2. Select a Focus Category.

  3. Click Focus link.

  4. Select Intervention(s) to assign to the Quick Entry Group.

If adding Task(s) using Focus Categories:

  1. Click Choose for Select Tasks using Focus Categories.

  2. Select a Care Plan Library.

  3. Select a Focus Category.

  4. Click Focus link.

  5. Select Task(s) to assign to the Quick Entry Group.

If adding Task(s) using Task Library:

  1. Click Choose for Select Tasks using Task Library.

  2. Select a Task Library.

  3. Select Task(s) to assign to the Quick Entry Group.
