MDS 2.0 - Submissions - Admission Date (AB1) Troubleshooting

The Admission Date (AB1) is sometimes rejected by CIHI because the value that is submitted in the MDS assessment does not match the value that CIHI has on record for that resident. You need to troubleshoot AB1. AB1 is the Verification Audit Report (VAR) from CIHI. The VAR shows you what CIHI has on record so that you can compare and update your MDS to resubmit.

  1. Log in to CIHI to get a VAR for the resident or facility. Use the Health Record Number to identify the resident.

  2. There is an Admission/Re-Entry Date column on the VAR. This is where you compare what you have in AB1 of your MDS what you have on the VAR. The AB1 date should match the last admission/re-entry date for that episode of care.

  3. From the Batches tab in the MDS Portal, record the results for the batch by clicking the Record Results link next to the batch. Mark the MDS as Rejected, and Save. This moves the rejected MDS into a new Batch.

  4. From the new batch, click the Resident's Name to go to the MDS tab of their chart.

  5. Open the MDS that was rejected. 

  6. Open Section AB.

  7. Click H (History) link. From the History window that apppears, you can see all of the past responses for AB1. Compare these responses to the AB1 value that is listed on the VAR for your resident. If the numbers do not match, and the VAR number is correct, unlock and edit the MDS Assessment. Reopen Section AB. Edit Section AB and enter the Correct Date for AB1.

  8. Complete, and lock the MDS.

  9. Export your Batch.

  10. Submit.

  • Sometimes, the AB1 date originally submitted to CIHI was incorrect, and not identified or changed. For example, the census date is different than the MDS date, but the census date is the date is correct, and should be on file with CIHI. Contact CIHI, and provide all details for CIHI to change the AB1 to the correct value.

  • The Unique Registration Identifier (URI) is made up of a combination of values. The first five digits represent the facility number, the next eight digits represent the most recent admission date, and the remaining digits represent the record sequence.

  • PointClickCare uses the following process to populate the AB1 date:

    • On creation of a new MDS the system first looks for the most recent Re-entry assessment and uses the AB1 date from that assessment to populate the AB1 date on the current assessment.

    • If there is no Re-entry assessment, then the system look for the most recent Face Sheet and uses the AB1 date from that assessment to populate the AB1 date on the current assessment.

    • If there is no Face Sheet, the system looks for the most recent admission or readmission date entered in the resident’s census and uses this date to populate the AB1 date.

    • Checking the H (History) link to the right of element AB1 (Admission Date) in the MDS is a good practice to help ensure the correct date is coded before submitting.

  • Use the Resident List Report to assist with AB1 troubleshooting. Select Advanced Options > under Fields to Display: select URI > Run Report.
