Transaction Report New

The report has two report options, Transaction Report and Resident Ledger. The Transaction report shows you transactions posted or generated to a resident's account over a specific period of time. The filters determine the output report, which shows transaction history, transaction analysis or unbilled transactions. If the transaction is billed, the Billing Date is the Period Through Date on the claim or the Statement Date, if billed on a statement.

The Resident Ledger looks more like your statements for ease in understanding your residents' accounts.  The report shows transactions by payer, subtotal and grand total of total amount due.

Note

The Transaction Report is only available at the Facility.

  1.  Admin > Reports > Billing > Transactions Report *New*.

Report Options

Transaction Report

  • Transaction Report or Resident Ledger - Select Transaction Report.

  • Resident Number/Resident: - Select a resident or leave blank for all residents.

  • Print Report by - Select one of the following:

    1. Service Date shows transactions for the selected Date Range.

    2. Posting Date shows transactions posted for the selected Date Range.

    3. Billing Date shows transactions from statement payers.

  • Date Range - Specify the dates.

  • Include All Unbilled Transactions To - This filter appears when you select Service Date or Posting Date for the filter Print Report By. Select this for transactions with unbilled status on your output report. Select a period ending date or Past Period Only.

  • By - Select Payer or Payer Type. 

  • Include Misc. Cash - Select to include Miscellaneous Cash transactions on your output report.

  • Show only Misc. Cash - Select this to only show Miscellaneous Cash transactions on your output report. This filter only shows when you select Include Misc. Cash.

  • Ancillary Display Options - Select options to include on the output report.

  • Transaction Display Options - Select options to include on the output report.

  • Select one, several or all of the following options:

    1. Suppress Zero Values

    2. Show Sub-totals

    3. Show Cumulative Balance

    4. Summarize Reversals

    5. Show Comments

    6. Show Only Residents with Transactions

  • Status - Shows all items billed, unbilled, marked as billed and show details. You must select one.

  • Expand Show more filter options.

    Note

    When you select any of the analysis filters below, Grand Total is added to the output report.

  • Report Format - Select PDF or CSV.

Resident Ledger

  • Transaction Report or Resident Ledger - Select Resident Ledger.

  • Resident Number/Resident: - Select a resident or leave blank for all residents.

  • Print Report by - Select one of the following:

    1. Service Date shows transactions for the Date Range selected.

    2. Billing Date shows transactions that are from statement payers.

  • Date Range - Specify the dates.

  • By - Select Payer or Payer Type. Select all, several or one.

  • Ancillary Display Options - Select options to include on the output report.

  • Transaction Display Options - Select options to include on the output report.

  • Select one, several or all of the following options:

    1. Suppress Zero Values

    2. Show Sub Totals

    3. Show Cumulative Balance

    4. Summarize Reversals

    5. Show Comments

    6. Show Only Residents with Transactions.

  • Report Format - Select PDF or CSV.

  • The filter options are sticky. The last used filter options are saved and you do not need to set them up each time you run the report.

  • When you select any of the Summarize options under Ancillary Display Options, you can only select Show Final Transaction Amount under Transaction Display Options.

  • When you select the filter Charge Code/Category for the Transaction Report, select the Charge Code Category first. The charge codes associated to the charge code category populate for your selection. 

  • When you select Show more filter options and Charge Code/Category > select Categories, only the charge codes with transactions appear on the output report.

  • Transactions made through Apply Payments appear on the Transactions Report when you select Service Date for Print Report by. For example, you enter $115 debit for March and $115 credit for your resident using Apply Payments. When you run the Transaction Report selecting the service date that includes the Apply Payments dates, the transactions now show on the Transaction Report for your resident.

  • For Patient Liability transactions: In the resident setup, select Third Payer, and enter Resident Liability payer.

    1. For Private Pay Billing, the following options are all selected:

      1. Days Account

      2. Account Type

      3. Account Type

      4. Transaction Type - clear all except Coinsurance and Deductible

  • On the output report, the Posting Date is the date selected which the batch is posted. You can specify any date in the current A/R billing month and forward. You cannot select a posting date from a closed A/R billing month.

  • On the output report, the Effective Date is the aging/distribution bucket month the payment is applied. The system auto-generates this date as the first day of the bucket month in which the payment. For example, a payment is made in August 2016 and the date generated on the report is 08/01/2016.

  • On the output report, Types are

    1. R - Room Charges

    2. A - Ancillary Charges

    3. C - Cash

  • Any reversed transaction has an asterisk at the start and end of the entry.

  • All ancillary transactions posted from a batch shows the batch number and entry number.

  • When you select one resident on the Transaction Report and there are no transactions within the specified date range, the output report show Previous Balance.

  • Month End Close Reconciliation: Review this report for charges that are not billed to date using the Include All Unbilled Transactions. Complete billing as needed. If there are transactions that should not be billed, use Mark as Billed to remove them from the report.

  • The rooms location appears on the output report under the room charge description. You need to select the option Show Location in Room Description in the resident's payer setup and use market rates for this to appear on the Transaction Report.
