Tax Letters - Download Macros and Fields

The PointClickCare Word Macro helps create Word templates by making it easy to add merge fields into your Microsoft Word Document. These steps below are to guide your installation of the PointClickCare Word Macro. Microsoft Word 2007 or later on Windows is required.

Navigate to Management Console > Standards > Financial Management > Letters > Tax Letter Templates

Single Facilities Admin > Setup > Tax letter Templates

  • Select the + sign next to Instructions.

Download the two required files

  1. Click Download Macro. The download is probably saved in your Download folder, under the name DocTemplateFields.

  2. Click Download Fields XML. The download is probably saved in your Download folder, under the name tax_letter_templates.

Find out what Windows Edition you are running (Windows XP or Windows 7, 8, Vista)

  1. Select your Start Menu.

  2. Select Computer.

  3. Right click and select Properties.

  4. Verify your Windows Edition.

Find your Start Up Folder

  1. Copy the line in the instructions with the C Drive information for your correct Windows edition:

    • On WindowsXP: C:\Documents and Settings\USERNAME\Application Data\Microsoft\Word\STARTUP

    • On Windows 7. 8. Vista: C:\Users\USERNAME\AppData\Roaming\Microsoft\Word\STARTUP

  2. Select your Start Menu.

  3. Select Computer.

  4. Select your C Drive.

  5. In the folder address bar at the top of the screen right click and paste in the copied C Drive information.

  6. Where you see USERNAME, replace this in the address bar with your computer user name (the name you would use to sign into the computer.

  7. After replaced, select Enter on your keyboard. You have now found your STARTUP Folder.

If you cannot find your STARTUP folder it might be a hidden folder

To Show Hidden Folders On Windows XP

  1. From your folder, navigate to Tools > Folder Options.

  2. Click the View tab.

  3. Change the hidden files and folders selection to Show Hidden files, folders, and drives.

To show hidden folders on Windows 7, 8, or Vista

  1. From your folder, press Alt to show the menu.

  2. Navigate Tools > Folder Options.

  3. Click the View tab.

  4. Change the Hidden files and folders selection to Show hidden files, folders, and drives.

Drag and Drop your downloaded files into your STARTUP Folder

  1. Open your STARTUP Folder.

  2. Open your downloads folder that contains the downloaded Macro (DocTemplateFields) and the Downloaded Fields (template.fields.)

  3. Drag your files from your downloads folder into your STARTUP Menu and Drop the files. Your STARTUP Folder now contains the two files.

  4. Ensure all your Microsoft Word Files are closed.

  5. Open Microsoft Word and you will see the XDocReport tab.

How to get your XML Fields into Microsoft Word

  1. Open Microsoft Word.

  2. Click the XDocReport tab.

  3. Click the Settings button in the design section.

  4. Select XML Fields tab,

  5. The Directory has to be set to your STARTUP Folder - You do not need to have the file name, just the Directory is sufficient.

  6. Copy the directory from the following:

    • On WindowsXP: C:\Documents and Settings\USERNAME\Application Data\Microsoft\Word\STARTUP

    • On Windows 7. 8. Vista: C:\Users\USERNAME\AppData\Roaming\Microsoft\Word\STARTUP

  7. Replace the USERNAME with your computer Username before pasting into the directory.

  8. Right-click, and Paste into directory. Validation occurs.

  9. Select Save. Your Fields appear under the Fields button in the Design section.

Troubleshooting

If the process does not work as intended, delete your STARTUP folder.

To do this:

  1. Copy the line below with the C Drive information for your correct Windows edition:

    • On WindowsXP: C:\Documents and Settings\USERNAME\Application Data\Microsoft\Word

    • On Windows 7. 8. Vista: C:\Users\USERNAME\AppData\Roaming\Microsoft\Word

  2. Ensure the word STARTUP is not within your copied line.

  3. Select your Start Menu.

  4. Select Computer.

  5. Select your C Drive.

  6. In the folder address bar at the top of the screen right click and paste in the copied C Drive information.

  7. Where you see USERNAME you must replace this in the address bar with your computer user name (the name you would use to sign into the computer.

  8. After replaced, press Enter on your keyboard. You have now found your STARTUP Folder.

  9. Right-click the STARTUP Folder.

  • You may require help from your IT Specialist to get the Macro and Fields downloaded and within your Start up Folder.

  • You need to know the User Name associated with the computer you are working on.

  • If you have already downloaded the Rate Change Letter Macro, you do not need to download the macro again and save it to your startup folder, you only need to download the tax_letter_templates.

  • Proper Security permission is required to access this function.

  • Microsoft Word 2007 or later on Windows is required.

  • Downloads compatible with Microsoft Office 32 bit.
