Setting up Resident Electronic Funds Transfer (EFT) 

Electronic Funds Transfer (EFT) is an easy way for your residents to allow your facility to withdraw funds directly from their bank accounts. Each resident can have up to 3 accounts listed.

You can automatically or manually include the resident in EFT cash batch creation to withdraw funds from their financial institution(s) and apply payments to their account. You can edit information in a Resident EFT if there are no open EFT batches for the resident. 

If the resident changes their mind, you can disable an enabled resident. Their account information is retained so you can re-enable at a later date. 

Note

A Bank Configuration must be assigned to the facility for the Resident EFT Setup to appear in the A/R Profile. Timing Configuration must be configured to select the scheduled in Timing. For more information, see Creating EFT Bank Configurations and Creating EFT Timing Configurations.

Note

Within the resident's A/R Profile, the EFT status shows ON or OFF. On means EFT is active or enabled for the resident. OFF means EFT is not active or disabled for the resident. 

Before you start, make sure you have the banking information from the resident, including the account holder name, bank account number, routing number, and the account type. 

  1. Admin > Residents > A/R Profile.

  2. Click Edit next to Resident EFT Setup. 

  • EFT Resident - Select to enable EFT. Clear to disable. 

  • Timing - Select a timing schedule from the list to include the resident in an automatic EFT cash batch creation. Select No Schedule if the resident is to be included in a manual EFT cash batch creation. 

  • Generate Using - Select an option from the list. 

    • Current A/R Balance - EFT account withdrawal is generated based on their current A/R Balance. 

    • Balance on Last Statement - EFT account withdrawal is generated based on the balance on last statement.

    • Balance on Last Statement less Payments - EFT account withdrawal is based on the balance on last statement less any payments or reversal of payments occurring after the statement was generated. This is useful if a resident makes a payment after the statement was generated and before EFT batch generation. For example,

      1. Balance on Last Statement less Payments is selected in Resident EFT Setup.

      2. Resident statement was generated with a balance of $6000.

      3. The resident makes a payment of $2000 before EFT batch generation.

      4. The EFT batch generates with a balance of $4000. Statement balance of $6000 minus payment of $2000 = $4000 for the EFT batch.

  • Authorized Maximum - Enter the maximum amount specified by the resident to be withdrawn from their account. 

  • No Limit - Select this option if the resident has set no limit on the amount to be withdrawn from their account. 

  • Account Holder - Type the name of the account holder. 

  • Routing - Type the routing number of the account holder's bank. This information is obtained from the account holder. 

  • Account - Type the amount number for the account holder. This information is obtained from the account holder. 

  • Account Type - Select the account type from the list. 

  • Payment distribution types

    • Percentage - Type a percentage amount to be retrieved from the account.

    • Up to Amount - Type a dollar amount to be retrieved from the account. 

    • Remaining Amount - This option automatically appears if only one account is created for the resident. 

  • Add Additional Account  - Click to add additional accounts for the resident. Up to 3 accounts can be entered for the resident. You can delete an account by clicking del next to the account. One account must be set up if EFT is enabled for the resident.
