Electronically Receiving Orders

When PointClickCare is integrated with a pharmacy, and supplies/medications are sent to the facility, those supplies/medications can be scanned using a bar code scanner. This supply information is automatically updated in the PointClickCare system.

  1. Ensure the scanner is plugged into your computer and calibrated.

  2. From within the Pharmacy Orders tab in the Orders Portal in the PointClickCare application or eMAR - Quick Supply Management Box Receive Supply/Medicationand Match to Order(s) is selected in the Quick Supply Management window.

  3. Place your cursor in the scan supply field within the Quick Supply Management box.

  4. Aim your scanner at the barcoded label. Ensure that your red beam for your scanner is in the center of the barcode and click the button on the scanner. The barcode appears in the box on screen.

    A window lists the supply sent from pharmacy. A line appears for each package of the medication sent. For example, if two blister packs were sent, you see the medication listed in two separate boxes in the Order Supplies window that appears.

  5. After you verify that all supplies listed in the window match what was sent in the tote, select Receive Supplies.

  6. If supplies match orders exactly, it is automatically linked. The orders in the listing that are exact matches are removed from the list. The number of orders in the upper right portion of the screen updates.

  7. Do one of the following:

    • If there are multiple potential matches to orders in the resident's chart, a window appears showing the supply received from pharmacy and the potential matches listed below.

    • If the correct match is listed, select the medication by placing a check mark in the box and select Link Order(s). Select Link Order for each package that was sent.

    • If the match for your Orders is not listed under Potential Matches, select All Pharmacy Orders on the gray bar. All of the pharmacy orders for the resident appears. Find the appropriate medication that matches the supply and link the medication.

    • If the correct match is not found, select Follow-up Required for the facility designee to review. Or follow the steps listed in Reviewing Medications in the Follow-up tab to troubleshoot the supply immediately.

  • Medications/supplies may be received from the application or from eMAR.

  • Sometimes several bar codes appear on the medication label. Scan the one that is closest to the resident's name and Prescription number.

  • If unable to scan the supply bar code, manually enter the Rx# or Bar code# in the field provided.

  • Alternatively manually receive an integrated order form the Waiting to be Received tab by clicking rcv next to the order.

  • A potential match is a medication in which the supply matches the PointClickCare Order ID or is in the same drug class of the Resident's orders listed.

  • If no potential matches appear, select All Pharmacy Orders) link and filter by order status to locate the matching order. After found select the order by selecting the box and select Link Order(s) as above.

  • Use Display Filters to view medications that have not been electronically received for more than 72 hours.

  • When scanning a bar code, the system checks to determine if the provided bar code is a match to a bar code provided in a supply with a 'Waiting to be Received' or 'Follow Up Required' status. If NO match is found, the system assumes the value inputted is a RX #. The system performs the same logic check to determine if the provided RX# is a match to a RX# provided in a supply with a 'Waiting to be Received' or 'Follow Up Required' status. After these two checks, if no match is found a message appears. See Troubleshooting.

  • If the order that matches the supply is still pending confirmation, that order needs to be confirmed before you can electronically receive the medication. When confirming orders at the time you electronically receive it, be sure to select Inventory on Hand within the order to indicate to pharmacy that you already received the medication.
