Validating Resident Setup Quick Reference Guide

This quick reference guide provides the steps required to validate resident set up is complete.

Validating Resident Detail

  • Run the Resident List Report *New*. To include key information, in the Fields to Display section, select:

    • primary physician.

    • Birth Date.

    • Gender.

    • All Identifiers.

    • External Facilities: Pharmacy and Laboratory.

Validating Resident Contacts

  • Run the Resident Contacts report for all residents and select:

    • Print Phone Numbers.

    • Print Email Address.

  • Review all residents and ensure: 

    • 1 or more contacts appear for each resident.

    • Contact address, phone and email are complete.  

    • Each resident has a contact with Contact Type matching the Send Bill to Contact Type  selected in A/R Configuration. For example, Responsible Party.

  • Identify contacts having no contact type assigned. Using your keyboard controls, search for no contact. If the search result is 0/0, all contacts have a contact type assigned.

Validating Census

  • Run the Detailed Census report for your go-live month and include all payers. Review and ensure: 

    • The total number of residents on the first day matches your actual census. 

    • Review summaries by: payer days, care levels, status, unit, and rate type and ensure the number of residents is accurate.

  • Run the Action Summary report for your entire facility for your go-live month and include all action codes and payers.

    • Ensure the number of residents with Actual Admission (AA) matches the number of residents on the Detailed Census Report.

Validating Payer Setup

  • Run the Payer Setup Information report and select all Payers. Ensure:

    • Each resident has a payer setup and the payer sequence is accurate.

    • The billing information for each resident and payer is accurate.

Validating Rates 

  • Run the Resident Rates report for all residents and payers and select Standard and Custom Rates.

    • Using your keyboard controls, search for No Rate Found. Add the rate for each resident identified.

    • Review standard and reimbursement rates for each resident.

Validating Recurring Charges

  • Run the Recurring Transactions report and group the charges by item code.

  • To ensure all recurring charges are included and charged to the appropriate resident, compare the report to your source documentation. 

7.

Validating Bill Groups

  • If you use Bill Groups to manage statement mailing, run the Bill Groups report for all billing groups. Compare the report to the Daily Census report for the go-live date and ensure all residents are assigned to a bill group.
