Assigning Initials and Department/Position

Each POC user must have initials assigned in their user profile before they are permitted to enter documentation in POC. These initials are the user’s signature, and appear on POC reports. Users must also have a Department and Position assigned.

  1. Admin > Setup > Security Users.

  2. Click Edit next to the user’s name.

  3. In the top right corner of the Edit User window, enter unique Initials in the Initials field.

  4. Assign the appropriate Department and Position to the user, using the lists provided.

  • Each user must have unique initials. This field has a maximum alphanumeric character limit of four (4). Any combination of initials is acceptable as long as they are unique to your facility. It is acceptable to also include numbers in this field. For example, if you have several users with the initials of SS, you can use SS01, SS02, SS03 and SS04.

  • If initials aren’t assigned to a user before they log in to POC for the first time, the system prompts them to enter initials before proceeding with login. This can cause problems/confusion if they select initials which are already assigned to another user. The system continues to prompt them to select other unique initials.
